Prospective Resident General Questions

We often hear "you do not answer the telephone" is that true?

Quite the contrary, we love talking on the telephone, but often our call volume is so high that we cannot answer every call that comes in immediately. Understanding the need for instant information for our clients and customers, we have invested much time and capital into developing a fully encompassing website that answers most every routine informational request we receive.

For our prospective residents, all of our available properties are listed on our website. In fact we use our website internally to answer questions regarding the properties. Additionally the answer to most questions regarding our application process, screening process, and other pre-tenancy issues can be found on our site.

Should the information you are looking for not be available on our website, we welcome your call to assist you in any way possible. If you do not get a live person, please leave a detailed message for the appropriate person and your call will be returned as quickly as possible. Thank you for your understanding that we do not, typically, place people on hold to assist another person while the first caller waits on hold.

Where can I get information on your available properties?

Information on our properties can be found on our website, www.thebirchcompanies.com, on our Property Availability Flyer available outside our office 24 hours a day, or by calling us at 336-288-6997.  We would be happy to email or fax to you a copy of the Property Availability Flyer. Information is also available from your local REALTOR.

How do I view your available properties?

Birch Management recognizes that your time is valuable! You can schedule showings of our available properties through our user-friendly and convenient website. Simply go to the Home Page and use the Property Availability Search to find the home that best suits your needs. Once you select a specific property listing, you’ll click the green “Schedule Showing” button.

 

In order to view the property, you must provide your contact information and answer a few screening questions. Our site is secure, and you should feel confident that the sensitive information you provide is held confidentially and securely. As a precautionary step to protect our agents and properties, you’ll also need to provide a copy of a government issued photo ID and credit card information. Don’t worry, the credit card is not charged, only authorized to ensure that it is active! Once the personal details are entered, you’ll then select the showing time slot that fits your schedule. You will receive a confirmation via email or text (your preference).

 

We also allow prospective residents to check out keys to preview Vacant Properties Only. Please visit our office during business hours and check out a key. You will be required to pay a refundable $25.00 key deposit; you’ll also need to provide a copy of your government issued photo ID and credit card.

 

You are also welcome to work with a local licensed real estate agent to view the home.  The licensed real estate agent must contact us directly to set up the showing.

What do I do if I am interested in leasing a property through Birch Management?
Your first step is to view the interior of the home that you're interested in leasing, then simply submit an online application.. See the above FAQ "How do I view your available properties" for more details on how to see the property!
Why is it so important to view the home before I apply?

Any cosmetic repair that you'd like to see performed (under $200) prior to moving into the home must be requested on the application in the Contingency Request section.  The approved Contingency Requests then become a condition of the Residential Rental Contract (our lease).  Sufficient time must also exist prior to your desired move in date to complete these items.  The owner reserves the right to seek an increased monthly rental rate if the requests are in excess of $200.00.

 

If you do not submit any Contingency Requests then you are accepting the home in "as is" condition and we will NOT perform any work except to rekey the locks.  Unlike a typical apartment complex, we will not automatically paint and replace the carpets in between residents.

When are new properties posted?
Our website is updated continually to reflect our current inventory of homes. Typically, new properties are added each Friday to the rest of our marketing channels.

Can I get more information about the neighborhood that I am interested in?

Due to Federal Fair Housing regulations, we cannot provide any opinion on neighborhoods or schools. However, we have quite a bit of information on our Community Information Page.

What happens if the items I list on the application Contingency Request Form are denied?
Any cosmetic repair that you'd like to see performed (under $200) prior to moving into the home must be requested on the application in the Contingency Request section.  Should the items you list on the Application Contingency form be denied, we will contact you to inform you of the denial and ask for your instructions on how to proceed with your application. Should you still wish to lease the property, we will proceed with the additional steps necessary to process your application. Please remember that your application fee is NON-REFUNDABLE.
Who must apply?

NC Law requires that all adults (18 years of age and older) that plan to live in the home must be listed on the lease in order to have a legal right to inhabit the property. Therefore, each adult who will live in the home must apply and be approved!

How much can I qualify for?
Typically, we require monthly household income of applicants to be three times the lease payments. If there is more than one adult living in the home then we will combine the monthly income for all adults that would reside in the home.  For example, if the monthly rental rate is $500 than the gross monthly rental rate of the applicants must be at least $1,500.
How do you verify employment?
Employment status will be verified with the current employer.  You will need to submit two of your most current paycheck stubs. If you are in the midst of starting a new job, we will then contact the future employer.

What if I do not have credit or have a very low credit score?

Guarantors will be accepted for applicants who are solely denied based on credit.  Guarantors are not considered for applicants that fail to meet income, rental history, employment or criminal background qualifications.  Only one Guarantor per house is permissible. Guarantors may be relatives or an employer; friends may not serve as a Guarantor. The Guarantor must submit an application, pay the application fee and provide all necessary supporting documents.  Guarantors must have a gross monthly income of 4 times the monthly market rent and meet all other screening criteria. The Guarantor will be required to sign the lease as Guarantor and a Guaranty of Lease which must be notarized. If Applicant that qualifies for a Guarantor but cannot secure a Guarantor, than a suitable option for this applicant would be to pay the lease in full at the time of lease signing. 

 

What items on the thorough Criminal and Credit Screening Report may negatively impact my application?
  • Felony convictions (within the past 10 years)
  • Violent misdemeanors (within the past 10 years)
  • Any convictions for sexual assault over any period of time
  • Inclusion on the OFAC terrorist watch list
  • Severe financial delinquencies
  • Unpaid civil judgments
  • Items referred for collection
  • Prior Summary Ejectment filings within the past 7 years
  • Current bankruptcies

Do I need Renters Insurance?

Yes, our residents are solely responsible for insuring their own personal property that is located or stored upon the property leased. Any loss from the risks of damage, destruction or loss resulting from theft, fire, storm and other hazards and casualties are your sole responsibility. A valid insurance certificate will be required prior to picking up your keys.

Future Residents General Questions
What am I responsible for as a resident?
Typically, all residents are responsible for:
  • Securing all utilities for the home, unless otherwise provided
  • Lawn care, unless otherwise provided
  • Changing the furnace/air conditioning filters regularly
  • Minor repairs to your home, including, but not limited to, to replacing light bulbs and clogged drains
  • Changing the smoke detector batteries during tenancy (these are new when you move in)
  • Pest control
  • Complying with all Homeowner Association Rules

What do I have to pay prior to moving in?
You are responsible for paying the security deposit within 3 business days of application acceptance. You are responsible for paying the first month's rent, as well as any applicable fees (ex: pet fee, expedited move-in fee, etc) at the time you pick up the keys prior to occupancy. Should you move in three days prior to month end, you will also be responsible for paying the following months full rent.
How can I pay rent after I move in?
Rent can be paid by personal check, cash (at a CheckFreePay® retailer of your choice), money order, or WebPay through your account online (processing fee applies) until the fifth of the month. After the 5th of the month we will only accept rent in the form of certified funds. Additionally, late payments must include the late rent charges or they will not be accepted. How do I turn on utilities at my future home?

It is the responsibility of the residents, unless the utilities are included in the lease, to secure utilities (water, electric, gas, etc) for their residence. It is the responsibility of every resident to supply WRITTEN confirmation from the utility company showing an active account prior to picking up the keys to their new home. The verification must have the resident's name, address of leased home and date that service was transferred/started. Please see the Utilities section of our website for utility contact information.

When is rent due?

Rent is due on the 1st of the month and late on the 2nd. Rent must be in our office by the end of the business day on the 5th of the month in order to not incur a late payment penalty. If you pay rent after the 5th of the month there is a late rent charge that is assessed equal to $15, or 5% of your total rent, whichever is greater. Any current month rental payments received after the 5th of the month must be in the form of a certified check or money order; no personal checks will be accepted after the 5th. Additionally, all payments made after the 5th must include the applicable late fee.
